International Exchange Program Manager

We are seeking a globally-minded, detail-savvy, and people-centered Exchange Program Manager to lead our international visitor programs—both virtually and in-person. The role includes designing professional exchanges, managing group logistics, and strengthening partnerships with local leaders and organizations.

Location: Louisville, KY (Hybrid)
Position Type: Full-Time, Salaried
Start Date: Open until filled; priority deadline August 8, 2025
Compensation: $40,000/year + flexible benefits package

Key Responsibilities

Program Management (50%)

  • Design customized, high-quality itineraries on themes ranging from community engagement to counter extremism to advancing economic development and preserving cultural heritage

  • Coordinate all travel, lodging, transportation, and hospitality for delegations

  • Serve as the lead liaison between WAC and visitors during their stay

  • Represent WAC with professionalism in cross-cultural settings

Proposal & Grant Writing (20%)

  • Write compelling proposals for U.S. Department of State-funded exchange opportunities

  • Communicate regularly with national program partners in Washington, D.C.

  • Collaborate with peer councils nationwide to share best practices

Program Operations (20%)

  • Track program budgets and reconcile expenses for invoicing

  • Maintain program databases and visitor contact records

  • Lead post-program communications and alumni engagement

  • Supervise interns and volunteers; streamline program administration

Community Engagement (10%)

  • Cultivate relationships with local leaders, nonprofits, and businesses to serve as speakers, hosts, or partners

  • Recruit and coordinate with homestay families and hospitality volunteers

What You Bring

  • Minimum of 2 years of professional experience in program coordination, logistics, education, hospitality, or related fields

  • Strong project management, time management, and multitasking skills

  • Excellent communication and interpersonal skills across cultures

  • Proficiency with Zoom, Microsoft Office/Google Suite; CRM or database experience is a plus

  • Ability to work independently and on a small, collaborative team

  • Willingness to work some evenings/weekends and travel locally (valid driver’s license required)

  • Enthusiasm for WAC’s mission and international engagement
